Daxera gives a small business a team of AI employees. To do that work they read some of the business’s own information. This page says exactly what we take, what we do with it, and what we will never do.
What we access, and why
Only what a job needs, and only from systems you connect yourself. You can disconnect any of them at any time and we stop immediately.
- Email. We read messages that arrive so your team can answer them, and we send replies you have approved. We ask for permission to read and send. We do not ask for permission to delete anything or to change your mail settings.
- Calendar. We read what is booked and what is free so appointments can be arranged, and we create or move events. We do not ask for permission to delete calendars.
- Accounting. We read invoices and payments so your bookkeeper knows what is outstanding. We do not ask for permission to move money, issue credits, or touch payroll or tax filings.
- Documents. We file and rename. We do not ask for permission to delete files or to change who can see them.
Those refusals are not policy alone. They are written into the software as permissions it cannot be talked past, and an attempt to exceed them is refused and recorded.
What we never do
- We do not train AI models on your data. Not ours, not anyone else’s. Your information is used to do your work and for nothing else.
- We do not sell or share your data, and we do not use it for advertising.
- We do not let one client see another’s information. Separation is enforced by the database itself, not by application code remembering to ask correctly.
- We do not delete your things. No Daxera employee can delete an email, a file, or a record.
Artificial intelligence, stated plainly
Your team is software. Any message they send to someone outside your business says so — this is enforced by the code that does the sending, so it cannot be forgotten or switched off.
To write a draft, the relevant part of a message and the notes your team keeps about your business are sent to a model provider (by default Anthropic; you may choose another, or supply your own account). Those providers process the request and return an answer. We use their services under terms that do not permit training on your content.
Every message drafted for someone outside your business waits for a person to approve it, until you decide otherwise for a particular kind of work — and you can withdraw that at any time, for anything, immediately.
Where it is kept, and for how long
Your data is stored in the United Kingdom. Credentials for connected systems are encrypted before they are stored and are never shown on any screen. We keep your information while you are a client and delete it within 30 days of you asking or closing your account, except where we are required to keep records for longer.
What you can ask us to do
See what we hold, correct it, export it, or delete it. Disconnect any system without disconnecting the others. Ask us to stop processing. Write to privacy@daxera.ai and we will answer within 30 days.
If something goes wrong
If your data is ever exposed we will tell you what happened, what was affected and what we are doing about it — without waiting to be asked, and without waiting until we have a complete picture.
