These terms are between Daxera and the business using it. Plain words, because an agreement somebody cannot read is not an agreement they have made.

What Daxera is

Software that does administrative work for your business — reading what arrives, drafting replies, chasing what is owed, keeping your records straight. It is presented as a team of employees because that is how it behaves. It is software, and every message it sends outside your business says so.

What you are responsible for

• You are the sender. Messages go out in your business’s name, from your address. You are responsible for them, as you would be for anything sent by staff.
• Approval is real. Work waits for you until you decide a particular kind of work no longer needs to. When you grant that, you are accepting responsibility for what it does — and you can withdraw it at any moment, for anything, and it takes effect immediately.
• Your obligations remain yours. Daxera does not give legal, financial, medical or other regulated advice, and it will refuse to. Where your business is regulated, meeting those rules is your responsibility.
• Lawful use. No unsolicited bulk messaging, nothing illegal, nothing designed to deceive the people you are writing to.

What we are responsible for

• Running the service with reasonable care and keeping your data separate from every other client’s.
• Never sending anything to someone you have told us never to contact.
• Never sending the same message twice.
• Telling recipients they are reading something written by software.
• Telling you promptly if something goes wrong that affects you.

Your data is yours

You own everything you put in and everything produced for you. You can export it or ask us to delete it at any time. We do not train AI models on it, and we do not sell or share it. See Privacy.

The systems you connect

You connect your own email, calendar and accounting. We ask for the narrowest access that does the job and refuse permissions we do not need — we cannot delete your mail, your files or your records, and we cannot move money. You can disconnect anything at any time.

Paying

There is a monthly fee for the system itself, and a monthly price for each member of your team, billed in advance. Prices are set out on our pricing page, and that page is what applies.

On plans where we run the AI, each member of your team has a monthly capacity. If one of them reaches it they do not stop working — we add capacity in blocks, and the price of a block is on the pricing page. You can see how full each member’s month is at any time. If adding blocks would cost you more than moving that team member to full-time, we will tell you, because at that point it does.

On plans where you use your own AI account there is no capacity limit from us and no usage charge from us. You pay your AI provider directly, at whatever they charge you.

Cancel whenever you like and it stops at the end of the period you have paid for. We will not bill you for a period you have not started.

What we do not promise

This is software using AI models, and it will sometimes be wrong. That is the reason approval exists and the reason it is on by default. We do not promise that a draft will be correct, that the service will never be unavailable, or that a model provider will never change. We are not liable for business losses, lost profit, or lost opportunity. Where liability cannot be excluded by law, it is limited to what you paid us in the preceding three months.

We think that is a fair split: we are responsible for the machine behaving as described and for keeping your data safe, and you are responsible for the judgment calls, which is why we default to asking you rather than acting.

Ending it

You may stop at any time. We may stop if these terms are broken or the service is used to harm someone. If we end it without cause we refund the unused part of what you have paid. On ending, you can export everything, and we delete it within 30 days.

Changes

We will tell you before these terms change in a way that matters, and you can leave rather than accept it.
